For many couples a wedding fair is the first real step from "we're getting married!" into actual planning. In a single day, photographers, florists, venues, celebrants, cake makers and musicians all stand next to each other, and that is both the opportunity and the problem. Walk in without a plan and you walk out with a tote bag full of flyers and not one decision made.

This guide sorts out both: the facts about our appearance at the HochzeitsWelt OÖ Wels on 13 September 2026, and what we generally advise couples about visiting a wedding fair.

Where to find us

Sunday, 13 September 2026, 10:00 to 16:00 — Messe Wels, hall 21, right by the entrance.

We do not have a stand number, but you will not need one: we are right by the hall entrance. Look for the screen with photos appearing on it one after another. By then those photos will be you and the other visitors.

A live EventWall to try out

There is a real wall running at our stand. Scan the QR code with your phone camera, pick a photo, and see yourself on the screen seconds later, with no app and no sign-up. That is exactly how your guests will experience it, which is also why it is hard to explain in a brochure and easy to understand in thirty seconds at a stand.

We are there ourselves. Bring whatever you already know about your day, the venue, a rough guest count, the date, and we will go through what suits it and what you can skip. Even if the conclusion is that the free version is enough for you.

A valid entry needs three things: a free EventWall account with a confirmed email address, three completed, distinct photo challenges on the fair wall, and confirmation that you are at least 18 during registration. You can try the wall at our stand without an account, but entering the draw requires registering.

You start without an app by scanning the QR code at our stand. A new challenge begins every half hour, and you will see the current task on the screen or straight on your phone. The draw takes place on 14 September 2026 and the winner is notified by email. The prize must be redeemed by 31 December 2026 and the wedding itself may take place until 31 December 2027. Preparing for a wedding fair: what to sort out first

The difference between a productive day and an exhausting one is decided at home, not in the hall. Settle four things beforehand, even if the answers are still provisional:

Date and season. Almost every conversation at a stand starts here. Without a date no supplier can tell you whether they are even free, and you end up discussing offers that may not exist for your day.

A rough guest count. Fifty guests or a hundred and eighty changes the price for nearly every trade, and often the solution too. A rough range is enough.

The venue, or at least the kind of venue. Castle, barn, country inn, garden? That decides the technology, the decoration, the travel distances and the wet-weather plan.

A budget range you both agree on. You never have to tell a supplier what it is. But if you do not know it before the fair, you will make decisions at stands that you regret at home.

Two practical details as well: set up a separate email address for the wedding planning. You will fill in a lot of forms at a fair and you will not want to sort through them in your everyday inbox later. And keep a few photos of your venue on your phone. For questions about projectors, screens or power sockets, one picture saves ten minutes of describing.

One day, a hundred stands: keeping track at a wedding fair

Look at the exhibitor list in advance and mark five to eight stands that genuinely matter to you. Go to those first, while you are still fresh and the suppliers still have time. Everything after that is a bonus.

Plan in breaks. After three hours in an exhibition hall the offers blur together, and that is exactly when contracts get signed that nobody understood. Sit down in between and compare your notes.

And take flyers only from suppliers you actually spoke to. The stack of paper you carry home at the end of the day gets cleared away unread without exception.

The questions to ask every supplier

Five questions that are rarely asked at a fair and badly missed at home:

  1. What does this actually cost in the end? Including travel, setup and teardown, overtime and materials. The price on the flyer is often the starting figure.
  2. Who will actually be standing in front of me on the wedding day? With larger suppliers that is not necessarily the person you are talking to right now.
  3. What happens if somebody drops out or something breaks? Is there backup equipment, a stand-in, a plan B?
  4. By when do we have to book and how long does the offer hold? Popular dates go early, but a serious supplier can tell you that without pressuring you at the stand.
  5. What are the cancellation and postponement terms? The years since 2020 have shown why this question is not paranoia.

Write the answers straight into your phone at the stand. After the fifth conversation you will no longer be able to tell them apart.

Fair discounts: when they are worth it and when they are not

Almost every exhibitor has a fair price, and most of them are real. What matters is not the size of the discount but the deadline.

A discount valid only on the day of the fair is a device for extracting a signature before you have had a chance to compare. A discount with a deadline of several weeks or months gives you time to do the maths at home and put offers side by side, and that is the only situation in which a fair discount works for you rather than against you.

After the fair: the 48-hour rule

Whatever you have not sorted within two days, you never will. Sit down that evening or the day after and do three things:

  • Write up your notes while you can still match the faces to the offers.
  • Split everything into three piles: yes, maybe, no. The no pile goes straight into the recycling.
  • Email the yes suppliers. Two days after a fair they still remember you. Two months later you are one enquiry among many.

Frequently asked questions about visiting a wedding fair

Is a wedding fair worth it at all? For everything that is hard to describe and easy to see, yes: feeling fabrics, tasting cake, meeting the people you will work with on your most important day. For pure price comparison the internet is faster.

When should we visit a wedding fair? Ideally twelve to eighteen months before your date. The sought-after suppliers are still free then, and you have time to compare properly instead of booking under pressure.

Do we have to book at the fair itself? No, and if someone pushes you to, treat it as a warning sign. Serious suppliers hold their offers beyond the day. Our fair prices are valid with a voucher code until 31 December 2026.

What should we bring? Comfortable shoes, a water bottle, a charged phone for notes and photos, a separate email address for wedding planning, and a rough guest count and venue in mind.

How much time should we allow? Three to four hours for a focused visit. After that your attention drops noticeably, and that is exactly when people make decisions they later regret.
